Job description

Warning: this is not a regular job. We are looking for a part-time Front Desk Receptionist with great energy and attitude, to keep reimagining the future of work. Sounds like you? Keep reading!

 

 

As a Frontdesk Receptionist you will be helping our Host and Community Lead on the day to day while working along with amazing people. You will need to be able to manage all our members' administrative needs and make them feel at home. You will be the first contact for visitors, collaborators, providers and customers so you'll need to be very organized and with a can-do attitude.

 

 

Ready for the challenge? This is what you'll be in charge of:

 

  • Members and Visitors check in and check out.
  • Sorting through mail and packages.
  • Welcoming everyone that walks through the door (we are well known for putting amazing music, so you'll be the DJ!).
  • Administrate communication channels, resend any inquiry to right person. (Email mainly).
  • Assisting with building facility management issues: maintenance, repairs, cleaning, office materials and other recurring providers.
  • Internal communication of announcements for our members.
  • Address customer questions, issues and concerns or refer them to additional. resource/s (Ex. How to use the printers? How does the app work? Where can I get the best chicken sandwich?).
  • Meeting room reservations for external and internal users.
  • Colaboration with Manager: goals, visits and issues with members (you'll plan all the visits with our Host).
  • Help with internal community activities.
  • Accounting: invoices out, invoices in, monthly closing.
  • CRM pipes curation through our platform (leads, leads, leads!).
  • Provide information through Telephone + Chat + Email.

 

Requirements

 

The hard:

  • You have experience in Coworking or Hospitality.
  • English and Spanish. If you have more languages, that would be great!
  • Hands on attitude.
  • Google Suite Master (Calendar, Docs, Sheets, Email etc...)
  • You have experience in Accounting.
  • You have experience in Sales face to face.
  • Nexudus Software knowledge will give you big extra points (if not, don't worry, we'll train you)
  • Holded Software knowledge will give you big extra points (once again, we will show you how it works).

 

The soft:

  • Works well independently and with a team.
  • Has a friendly demeanor and enjoys interacting with different people and cultures (seriously, we have +20 nationalities in the haus!).
  • Mega self organization skills (beauty is on the details!).
  • Great communication skills, spoken and written.
  • Great multitasking skills (things move fast!).
  • Good listener, you will be the point of reference to our coworkers.
  • Team player and Zen attitude.
  • You embrace change in your life and work.

 

This is what you'll get:

  • 30 hours job per week (from 8-14 or 14-20), Mo-Fri. TBD
  • 23 days of holidays (plus the official Spanish holidays).
  • 6 month trial contract and then (if it works) we'll go indefinite.
  • Fix salary according to industry standards + variable package based on assigned sales.

How will the process look like?:

  • First you'll have an interview with Fran (our Host and Community Lead)
  • Then, you'll meet with Jordi, our CEO
  • Finally, we will arrange a meeting with some of the coworkers you'll be working with (we want them to know you!).
